When to add hiring intelligence to your ATS

Learn when your ATS's evaluation tools may be enough, when TrueRole could help, and how to use TrueRole without an ATS.

Your applicant tracking system (ATS) may already help you rank applicants, review résumés, and collect interview feedback. Before adding another tool, ask where your team still struggles. Can reviewers explain why a candidate fits the role? Can they find the supporting evidence? Can they update their view when a work sample or interview adds new information?

If your current tools answer those questions well, they may be enough. If your team spends time piecing the answers together across documents and notes, a hiring intelligence platform may help.

You can also use TrueRole without an ATS. Create roles, upload candidate résumés, and review their evidence directly. Connecting an ATS is optional.

What ATS evaluation tools already do

Modern ATS products offer more than keyword filtering. Ashby's AI-assisted application review checks candidates against custom criteria and explains its findings. Teams can change the criteria and review candidates again. Read Ashby's documentation.

Greenhouse Talent Matching uses criteria and weights set by the hiring team to group applicants by match. It keeps a history of changes to those criteria, while people decide who moves forward. Read Greenhouse's documentation.

Workable's Agent evaluates candidates against role criteria and can take automated actions based on the results. Workable also offers interview tools and integrations. Read Workable's documentation.

Start by understanding the features available in the product and plan you already use. That gives you a fair basis for deciding whether another tool would help.

What a hiring intelligence layer adds to the process

A hiring intelligence layer helps teams connect candidate information to the role they are filling. It brings the requirements, supporting evidence, and unanswered questions into one evaluation that can develop as the team learns more.

When trying a platform such as TrueRole, ask:

    • Can I see what supports this assessment? It should be clear whether a conclusion comes from the résumé, a work sample, or an interviewer's notes.
    • What changes when we learn more? New material may support an earlier view, challenge it, or leave a question unanswered.
    • Does this help us decide what to ask next? A gap in the evidence should help guide the next interview or request for information.

Ask the same questions of your ATS if you have one. Some features will overlap. What matters is whether the additional tool makes candidate review easier and more useful for your team.

How an evaluation can change during hiring

Imagine you are hiring a product designer who will lead research, work through tradeoffs with engineers, and explain the results of their work.

The résumé says the candidate led a redesign. That is relevant, but you still want to know what they personally contributed and how they made decisions.

Their portfolio then shows the research and design choices. You have more to work with, though their responsibility for the outcome may still be unclear.

In the interview, you ask about a particular tradeoff. The candidate's answer helps support one requirement but raises a question about another. Your notes should help the next reviewer see both.

A useful evaluation tool makes that progression easy to follow. The hiring manager should be able to understand what changed without rebuilding the assessment from separate documents.

    Using TrueRole on its own

TrueRole does not require an ATS. You can create a role, upload candidate résumés, and review their evidence in the platform. Add supporting materials, interview notes, and team feedback as they become available.

This can help teams that currently organize hiring through spreadsheets, email, or shared documents. Everyone can work from the same role requirements and see what supports the assessment. Explore the TrueRole platform.

For a step-by-step starting point, read how to evaluate candidates without an ATS.

    Using TrueRole alongside an ATS

If you already use an ATS to manage recruiting, TrueRole can help your team evaluate candidates as hiring progresses. It brings role requirements, business context, and candidate evidence into a shared review.

Decide where people will review the analysis and record hiring decisions. Check which roles, candidate records, and materials your workspace can import, how updates arrive, and what needs to be transferred manually. Integration availability varies by workspace, and connecting two systems does not mean every field or evaluation syncs both ways.

When your current tools may be enough

You may not need another platform if your team can already find the relevant evidence, add later materials, discuss disagreements, and record decisions without much duplicated work.

Consider an additional tool when a specific problem keeps coming up. Perhaps reviewers spend too much time combining work samples and notes. Perhaps they cannot easily explain why an assessment changed. Or perhaps they struggle to apply each client's role requirements consistently.

Start with that problem and check whether TrueRole helps solve it. Include the cost and effort of using another system in your decision.

    Try it with one role

Use the same criteria and candidate materials in each product you are comparing. Start with résumés, then add further evidence in the order your team usually receives it.

Notice how long reviewers spend finding support for a conclusion and adding new information. Ask them to explain where they agree or disagree, and check whether the evidence supports their reasoning.

Compare the total cost too, including subscriptions, usage charges, setup, and manual transfer work. Choose the approach that helps your team make and explain its decisions with less unnecessary effort.
